RLDatix alternatives: what to weigh before you switch

A fair look at moving off RLDatix: why teams do it, what to look for in an alternative, and when staying put is the right call.

RLDatix is best for: Hospitals, health systems and delivery networks, plus public health and aged-care bodies elsewhere. No surgery center or nursing home package was found. If that is not you, or if cost, adoption or setup are the issue, judge alternatives on five things: whether staff use it, whether it closes the loop, whether it produces audit evidence, the real total cost, and how it treats sensitive data.

What to look for

Five questions to put to any alternative.

  1. Does staff actually use it?Adoption decides data quality. Look at how long a report takes on a phone, whether a near miss is worth reporting, and whether staff need a login to start.
  2. Does it close the loop?Ask to see a corrective action with an owner, due date, evidence and a check that the fix worked, and whether the incident can close without it.
  3. Does it produce survey evidence?QAPI summaries, per-incident packets and an audit trail that a surveyor can follow, not only a list of events.
  4. What is the real cost?Ask for total cost across sites: seats, modules, implementation, migration and renewal terms. Compare against the time your team spends today.
  5. What happens to patient information?Confirm a BAA, how AI features handle patient information, and what stays out of analytics.

Ask RLDatix for exports of incidents, investigations, actions and attachments, with dates and record IDs intact. The UK listing says exports come as CSV, Excel, PDF or XML, and help beyond built-in tools may be charged. IncidentKit imports CSV history and offers migration done for you. How does RLDatix price its software?

RLDatix does not publish North American prices. Buyers get a quote after a demo, and the total depends on the modules and facilities you add. A UK public sector listing for DatixCloudIQ shows 2.21 to 32.41 GBP per licence per year, a different market.

Does RLDatix offer AI incident reporting?

Yes. Announced 18 August 2025, Smart Entry pre-fills and classifies an event report from a written account. RLDatix says it cuts reporting time by up to 70 percent. It does not say whether a person reviews AI-filled fields, which languages it supports or its price.
